1. Our approach

Aloha Kids Co., Ltd. ("we") runs Aloha Kids English Preschool ("the school"). We handle the personal information of children and parents in line with Japan's Act on the Protection of Personal Information ("the Act") and the related laws and guidelines.

3. What we collect

We collect the following personal information.

• The trial and visit request form: your child's name and date of birth, your email address, your phone number (optional), and the class and dates you would like
• Phone calls, emails and visits: your name, contact details and what you ask us
• Enrollment and while your child attends: the information we need to care for your child, such as names, address, contact details, dates of birth, emergency contacts, health and allergy information, and payment details
• Photos and videos taken at the school
• Use of this website: cookies and similar technologies record information such as the pages you view, your device and browser, and your IP address (see section 7).

4. Why we use it

We use personal information only for the following purposes.

• Arranging trial lessons and visits, and answering your questions
• Suggesting the right class for your child's age
• Enrollment, caring for your child, looking after their safety and health, and keeping in touch with you (To be confirmed)
• Billing fees and checking payments (To be confirmed)
• Preparing the documents needed for reports and applications to the ward or Tokyo, such as childcare certification and subsidies (To be confirmed)
• Telling you about school events and news
• Showing photos on our website, Instagram and brochures, with the parent's written consent
• Improving this website and measuring how well our advertising works

If we change these purposes, the new purposes will stay reasonably related to the old ones, and we will announce them on this page.

5. Sharing with others

We do not give personal information to anyone else without the consent of the person concerned (for a child, the parent), except:

• where the law requires it
• where it is needed to protect someone's life, health or property and consent is hard to obtain
• where it is especially needed for public health or for children's healthy development and consent is hard to obtain
• where we must cooperate with a national or local government body carrying out duties set by law and asking for consent could hinder that work
• where we entrust the handling of personal information to a service provider, within what our purposes need (see section 6)

6. Services we use, and handling outside Japan

We use the following services, and the personal information we hold is stored on their providers' servers, which are outside Japan.

• Wix (runs this website, and receives and stores form requests): Wix.com Ltd., Israel. Data is stored mainly in data centers in the United States and Europe, and may also be handled by Wix group companies in countries including Brazil, Mexico and Luxembourg.
• Google (email through Gmail, Google Analytics, Google Ads, and Google Maps): Google LLC, United States. Data is stored in data centers around the world, including the United States.

We have checked how these countries protect personal information, using the material published by Japan's Personal Information Protection Commission, and have checked the providers' terms and data processing agreements to make sure they take measures equivalent to those the Act requires. 7. Cookies and analytics

This website uses cookies and similar technologies so that it works properly, and to learn which pages people read and which advertisements brought them here. We use Wix's site analytics, Google Analytics and Google Ads conversion tracking. Trial requests and taps on our phone number and email address are also counted, without identifying who made them.

Google Analytics uses cookies to collect information about how you use the site. Google explains how it uses this information on the page linked below. To stop Google Analytics recording your visits, you can use Google's opt-out browser add-on. You can also turn off cookies in your browser settings, although parts of the site may then not work properly.

The map on our pages is embedded from Google Maps; when it is shown, Google may collect information such as cookies.

8. How we keep it safe

To prevent personal information being leaked, lost or damaged, we take the following measures.

• Policy: we have set out and published this policy.
• Organization: a person is responsible for personal information, and we decide which staff handle which information. Staff report any leak, or suspected leak, to that person.
• People: we regularly remind staff how to handle personal information, and confidentiality is part of their terms of employment.
• Physical: paper records are kept in a place that can be locked, and devices and documents holding personal information are kept out of reach of anyone but staff.
• Technical: access to our online accounts is limited to the people who need it, and protected with two-step verification and similar measures.
• Handling outside Japan: where personal information is handled abroad, we check that country's rules first and take measures accordingly (see section 6).

9. Seeing, correcting or deleting your information

You, or someone acting for you (for a child, the parent or other legal representative), can ask us to tell you why we use your personal information, to show you what we hold (including records of sharing it with others), to correct, add to or delete it, to stop using or erase it, or to stop sharing it.

Please contact us (section 10). Once we have confirmed that you are the person concerned or their representative, we will respond without delay as the law requires. We do not charge a fee.
